Upload an Expense Policy Document

Workspace Admins can upload a PDF expense policy document to the workspace overview page so all workspace members can view the company’s expense guidelines. This helps keep everyone aligned on what expenses are covered and how to submit them.


Who can upload an expense policy document

  • You must be a Workspace Admin to upload, replace, or remove an expense policy document.
  • Your workspace must be on the Control plan.
  • All workspace members (including non-admins) can view and download uploaded policy documents.

How to upload an expense policy document

  1. In the navigation tabs (on the left on web, and at the bottom on mobile), click Workspaces.
  2. Click your workspace name.
  3. Click Overview.
  4. Scroll to the Expense policy section.
  5. Under Policy document, click Choose file.
  6. Select a PDF file from your device.

The PDF thumbnail will appear in the Expense policy section once uploaded.

Note: Password-protected PDFs are not supported. If you select a password-protected PDF, an error message will appear and the file will not be uploaded.


How to view an expense policy document

  1. In the navigation tabs (on the left on web, and at the bottom on mobile), click Workspaces.
  2. Click your workspace name.
  3. Click Overview.
  4. Scroll to the Expense policy section and click the PDF thumbnail.

The document will open in a full-screen viewer where you can scroll through the PDF and download it.


How to replace an expense policy document

  1. In the navigation tabs (on the left on web, and at the bottom on mobile), click Workspaces.
  2. Click your workspace name.
  3. Click Overview.
  4. Scroll to the Expense policy section.
  5. Select the three dots (⋮) on the PDF thumbnail.
  6. Click Replace.
  7. Select a new PDF file from your device.

How to remove an expense policy document

  1. In the navigation tabs (on the left on web, and at the bottom on mobile), click Workspaces.
  2. Click your workspace name.
  3. Click Overview.
  4. Scroll to the Expense policy section.
  5. Select the three dots (⋮) on the PDF thumbnail.
  6. Click Remove.

The PDF will be removed and the Choose file button will reappear.


FAQ

Can non-admin members upload or remove an expense policy document?

No. Only Workspace Admins can upload, replace, or remove the expense policy document. Non-admin members can view and download the document.

What file types are supported for the expense policy document?

Only PDF files are supported.

Can I upload a password-protected PDF?

No. Password-protected PDFs are not supported. An error message will appear if you try to upload one.
